Terms of business

Bookings can take place via your agent or directly with Ballantyne Safaris. A booking will only be held once a minimum of 50% of the total Daily Rate or 10% of the package hunt has been received as a deposit and a contract has been undertaken between Ballantyne Safaris and the client. The contract will need to be signed by both parties.

A minimum of 50% of the daily rate is required to confirm a booking. Trophy fees will be determined by the year in which the hunt takes place unless 100% of the day fee/s is settled, which will secure trophy fees at those rates of the year in which a deposit is paid, unless stated differently within your contract.

Full payment of the balance of the total package or daily rate for the safari is due upon arrival at the lodge. Trophy fees can be settled at the end of the hunt. We accept wire transfers, cash and VISA and MASTER CARD credit cards. Please note there may be a slight difference in credit card charges from the time of payment to when the transaction takes place due to exchange rate fluctuations.

Credit Cards – A 3% surcharge will be levied on all credit card transactions. Wire Transfer – Free – 0% Surcharge. Feel free to wire a projected total prior to the start of your safari, which can then be topped up at the end of your safari.

This is not recommended but can be done with the permission of Ballantyne Safaris. Package animals can only be traded out of a package at the ‘package value’ of the animal and not at the trophy price list price. Only similar priced animals may be traded. It is often better to build your own package if none of our packages suit you.

• Hunting license fees.
• The services of an experienced and qualified Professional Hunter with a well-equipped four-wheel-drive vehicle and a tracker.
• Standard equipment where required.
• Complete support crew of camp staff, trackers, skinners, and chefs.
• Field preparation of trophies.
• Delivery of trophies to the local taxidermist.
• All accommodation and meals.
• All land transportation while on safari.
• All meals, soft drinks, and laundry services.

• International & domestic flights.
• Shipping & Taxidermy.
• Alcoholic drinks.
• Rifle hire and ammunition per safari if required.
• Gratuities for safari staff and Professional Hunters.
• Touring, meals and liquor outside of camps and hunting areas.
• Wounded Trophies: Any animal wounded/hit, and found OR lost, will be deemed as taken.
  The full trophy fee will apply.
• Insurance
• Airport transfers ($100/vehicle required)

• Tips for trackers, camp staff, and professional hunters must be paid in USD$ cash, as staff may not be able to exchange cheques.
• Tips can be added to the final bill of the safari and tallied to the Safari total.
• The norm for tipping should be checked with the outfitter, and while tips are greatly appreciated, they are not expected. Please look on our ‘Frequently Asked Questions’ page for guidelines.

Ballantyne Safaris recommends that all clients obtain travel insurance prior to their safari.

• If a client cancels a safari less than 6 months prior to the commencement date, the deposit will be forfeited unless the dates can be rescheduled to alternate dates within the same season or the following season.
• Safaris cancelled more than 6 months prior to the commencement date will be refunded the deposit less 25%.
• The 25% deposit that is not refunded can be applied to a future safari with alternate dates within the same season or the following season.
• It’s important for clients to thoroughly review and understand these policies before booking a safari with Ballantyne Safaris to avoid any misunderstandings or surprises.
